A legal disclaimer
By booking into any class or purchasing a membership at The Somatic Room, you agree to the following Terms & Conditions. These terms are in place to ensure the safety, efficiency, and enjoyment of all participants, while supporting the boutique, small-class experience we offer.
BOOKINGS & PAYMENTS

A minimum of three (3) participants is required for a class to proceed. If the minimum is not met, the class may be cancelled or rescheduled.

Payment must be made in full prior to booking a class. No bookings will be held without payment.

If a class is fully booked, you may join the waitlist. If a space becomes available, you will be notified via email or text. You are not obligated to accept the spot, but if you do not respond promptly, your place may be forfeited.
CANCELLATION, NO-SHOW & ATTENDANCE POLICY

All classes operate under a 12-hour cancellation policy.

Cancellations made at least 12 hours before the class start time will allow the session to be returned to your account for future use (where applicable).

Cancellations made within 12 hours of the class start time will result in the session being forfeited.
-
No-shows and absences will result in the session being forfeited.
-
A $10 No-Show Fee applies to Reformer Pilates classes and will be charged to the payment method on file within 24 hours of the missed class.
STUDIO POLICIES

Class Capacity: Reformer Pilates classes have a maximum of 6 clients. Group matwork, yoga, and meditation sessions have a maximum of 12 clients.

Class Duration: Sessions run between 45–90 minutes, depending on the class type.

Punctuality: Clients must arrive on time. If you arrive more than 5 minutes late, your booking may be given to a walk-in or waitlisted client. Instructors reserve the right to deny late entry.

Medical Clearance: Instructors may refuse participation if required medical clearance has not been provided.

Mobile Phones: Phones must be stored in designated areas during class unless special circumstances apply.

Injury & Medical Conditions: Clients must disclose all injuries, medical conditions, or concerns to the instructor prior to class.

Age Requirement: Clients must be 16 years or older to participate in classes.

Pregnancy: Pregnant clients may attend group classes up to 16 weeks unless otherwise approved by the studio owner.
CLASS PACKS & EXPIRATION

Class packs are valid for 1, 3, 6, or 12 months from the date of purchase.

Sessions are non-refundable, non-transferable, and cannot be shared with another individual.

Extensions may be granted for medical reasons with a valid medical certificate. Requests must be made prior to the expiry date.
WEEKLY MEMBERSHIPS
Weekly memberships provide flexible, regular access to classes while maintaining our boutique, small-class environment.
Membership Options:

SOMATIC Awaken – 2 classes per week

SOMATIC Flow – 3 classes per week
-
SOMATIC Thrive – Unlimited weekly classes
Memberships may be used for Standard Reformer Pilates, Mat Pilates, Yoga, and Meditation classes only. Workshops, special events, and courses are not included.
MEMBERSHIP COMMITMENT, PAYMENT & RENEWAL

Weekly memberships have a minimum commitment of four (4) weeks from the date of sign-up.

After the initial 4-week period, memberships may be cancelled at any time by emailing hello@thesomaticroom.com.

Membership payments are charged weekly on the day of sign-up and automatically renew unless cancelled.

If a payment cannot be processed, the system will attempt reprocessing. If unsuccessful, the membership may be paused or cancelled.
MEMBERSHIP CLASS USAGE

Your membership week runs from the day of payment to the same day the following week.
-
All included classes must be used within that week. Unused classes do not roll over.

It is your responsibility to book classes in advance. Due to small class sizes, availability cannot be guaranteed.

Memberships are non-transferable and for personal use only.
FREEZING, CANCELLATIONS & STUDIO CLOSURES

Memberships may be temporarily frozen due to illness, travel, or personal circumstances. While frozen, access to classes will be paused and will resume at the end of the freeze period.

Cancellation of memberships is only permitted after the initial 4-week commitment period by emailing hello@thesomaticroom.com.

During periods such as Christmas, Easter, or other holiday schedules, the studio may operate on a reduced timetable. If class times during these periods do not suit you, please contact the studio and we’re happy to pause your membership until the full schedule resumes.
PRIVACY POLICY

We are committed to protecting your personal information. Security measures are in place to prevent loss, misuse, unauthorised access, modification, disclosure, or destruction of your personal data.
Please note that transmission of information over the internet is not always completely secure.
CUSTOMER WAIVER

I understand that classes may be physically strenuous and that full care must be taken when receiving instructions and performing exercises.

I accept that there is potential risk of personal injury, property loss, or death, and I agree that neither I, my heirs, assigns, nor legal representatives will sue or make any claims against The Somatic Room, its trainers, or members for any personal injury, property damage/loss, or wrongful death, whether caused by negligence or otherwise.

The Somatic Room is not responsible for lost or stolen personal belongings. If property goes missing, it should be reported to a staff member immediately.

I understand that booking into a class demonstrates acceptance of these Terms & Conditions.
